Position Summary:  The Coordinator, Technology Projects, is responsible for support and project management functions for the  Engineering Leadership team for the department. This position will interface with engineering staff, external partners/vendors, and cross department on coordination of technology projects.


Essential duties and responsibilities include the following.  Other duties may be assigned. 

  1. Coordinate logistics for Software Development Team projects and SDLC
    1. Daily communication to team members
    2. Drive and report on sprint team milestones
    3. Collect data and provide updates/status to Management and leads as needed
  1. Conducts project meetings, and consistently employs project management best practices
  2. Tracks project scope changes, delivery timing, and key project metrics
  3. Communicates project progress, changes, and risks
  4. Responsible for management of project artifacts
  5. Assist with Technology software quotes, comparison matrixes, and coordinating regular purchases as needed.
  6. Manage technical and support relationship with 3rd party vendors and drive weekly resolution for open items/tickets
  7. Proactively coordinate and schedule meetings (including Video and Teleconference as needed) with External Vendors and Internal Offices/Departments.
    1. Provide directions, agendas or other information for meetings/events as needed.
    2. Transcribe and distribute meeting notes, and assist with the creation of presentation materials as needed.
    3. Follow up on any Vendor Contract Material as needed.
    4. Coordinate food, refreshments, and staff events, arranging payment as required.
  8. Some travel may be required.


Educational and Skills Requirements:

  • High School Diploma required, 2 years college education or Bachelor's degree preferred
  • 2+ years' related experience, emphasis in project coordination and administrative skills
  • Project management skills including advanced skill in MSWord, Excel, Outlook and PowerPoint. Experience creating and editing compelling PowerPoint presentations and Excel reports.
  • Proficiency for technology systems and software development processes a plus
  • Ability to develop effective working relationships with staff, internal and external customers utilizing excellent customer service skills
  • Work History demonstrating skill in handling confidential information with a high level of professionalism
  • Excellent interpersonal and customer service skills
  • Strong organizational, verbal and written skills
  • Experience or knowledge of Technology industry a plus
  • Experience in the hospitality/tourism industry a plus
  • Exceptional phone and e-mail etiquette
  • Attention to detail, including strong proofreading skills
  • Ability to multitask, prioritize, and problem solve in a deadline driven environment


Type/Nature of Contacts:

External:  Frequent contact with outside vendors, applicants and travel professionals

Internal:  Daily contact with Virtuoso staff.
