Position Summary: The Specialist, Marketing Production is responsible for day-to-day production, trafficking, and distribution needs of various marketing products such as print direct mail produced in the US, Canada and Australia, email marketing, travel catalogs, and advertising. All products must follow published schedules, stay within established budgets, and meet Virtuoso's high-quality standards.

Primary Duties & Responsibilities include the following. Other duties may be assigned.

  1. Serve as the primary contact with Virtuoso's US, Canadian, and Australian direct mail print vendors. Manage and communicate print production schedules to ensure on-time drop dates. Continue to train our newest print vendor in Canada.
  2. Write fulfillment instructions for travel catalog and direct mail. Manage the process with multiple print vendors to ensure the instructions are followed; troubleshoot print and fulfillment issues and handle shipping errors.
  3. Responsible for accurate advisor, agency, and consumer variable data personalization on travel catalogs and direct mail.
  4. Responsible for collecting partner advertising that will run in Virtuoso's publications, catalogs, and Communicate ad specs and deadlines to participating partners. After requesting ads, continue to keep in touch with partners until final creative is received. Review ads to ensure there are no content issues (direct booking, typos, incorrect validity dates, etc.) or production issues (size, low res images, missing bleeds, etc.). Responsible for final review before press.
  5. Manage relationships with Virtuoso's stock photography houses. Negotiate annual contract pricing. Serve as the main point of contact for pricing and production.
  6. Responsible for creating, updating, and adhering to a mail file schedule for publications, direct mail, email marketing, and other consumer facing marketing products. Create and execute Smartsheet scheduling system and calendar.
  7. Responsible for creating direct mail and email marketing schedules and updating traffic reports to ensure deadlines are met. Create weekly marketing products summary report.
  8. Verify creative and production vendor invoices are within budget. Oversee Concur invoice coding to ensure accuracy.
  9. Assist with the collection and management of Virtuoso member logos to be used in publications, email marketing,, MyMarketing, etc.
  10. Serve as the main point of contact for Virtuoso staff who use Webdam. Oversee loading and tagging of images used in marketing products. Research new ways Virtuoso can use Webdam to improve processes and increase efficiency.
  11. Work with Virtuoso's product management team to improve the Digital Edition section of Add and update sections and trouble shoot issues.
  12. Proactively assist the Director, Marketing Product Operations, applying analysis and best practices to improve production processes and systems to increase efficiency.
  13. Manage publication and catalog inventory stored at our print vendor.


  • Bachelor's degree
  • 3-5 years of print and digital production experience
  • Experience in the travel industry preferred

Travel Requirements

  • Infrequent travel may be required to attend company events. (1-3 trips per year)
  • Travel will be entirely domestic.

Type & Nature of Contacts

  • Internal: Key job contacts are primarily with managers outside of the job's immediate work unit/department.
  • External: Daily contact with print company reps; Weekly contact with production designers, Virtuoso members, and Virtuoso partners; Monthly contact with photo house reps.

Physical/Mental Demands

  • Receive, unpack, and shelve publication samples (boxes are less than 50 lbs).
