Position Summary: This position is responsible for collaborating with the Member Operations Specialist to manage new member relationships, provide operational support and streamline onboarding of new global members across regions. Define strategies for maximizing customer experience within various cultures and regions around the world, including EMEA, APAC, and North America. Partner with Director of Strategic Growth on streamlining processes to drive profitability. This position will review contracts and agreements according to set guidelines, ensuring adherence to customer requirements.


Primary Duties & Responsibilities include the following. Other duties may be assigned.

  1. Provide operational support for the Member Relationships team.
  2. Send and review all new and current member Agreements.
  3. Prepare and review prospective membership documentation.
  4. Onboard new members leveraging internal systems and processes.
  5. Work with current members on new branch additions, Independent Entities, Marketing branches, etc.
  6. Termination processes and documentation.
  7. Send Affiliation Letters for new members or current members with changes.
  8. Provide a monthly update of membership changes and additions to all Virtuoso partners.
  9. Prepare new agency overview summaries for executive leadership.
  10. Create new profiles for new members or member branches and associated advisors on Virtuoso.com.
  11. Collaborate with other company wide teams to facilitate member changes and additions.
  12. Staff announcement emails for new members, terminations, member changes, etc.
  13. Manage Membership Update and Memberships email accounts.

Requirements

  • Bachelor's degree
  • 2-4 years of related work experience

  • Proficient in Microsoft Office Suite
  • Proficient in CRM toolsets (Dynamics/Zoho)
  • Experience managing contracts and agreements

Travel Requirements

  • Travel is rarely required for this position (0-1 trips per year)
  • Any travel will be entirely domestic

Type & Nature of Contacts

  • Internal: Key job contacts are primarily with clerical and technical personnel and managers outside of the job's immediate work unit department
  • External: Daily contact with Agency Owners & Managers, all Agency Staff (IC's, Hourly Employees, Marketing Contacts, Office Manager, etc.) and all Virtuoso Partners (C-Level, BDMs, Operations Personnel, Accounting Department, etc.)

Physical/Mental Demands

  • Irregular Work Hours – Working with the China, APAC and EMEA Region on deadlines requires late nights/early mornings on the occasion to receive a response the same business day.
  • This position often requires long, uninterrupted periods of intense concentration while sitting. Urgent project needs may arise, and this position will need to rapidly adjust their projects they are managing to meet the immediate needs of the Department.
