Position Summary: The "Coordinator, Member Relations" supports the Member Relations team and members in achieving annual network sales and engagement goals. This role will manage the day-to-day service and support for National Accounts and member agencies, guide new member onboarding to support growth and provide support for the US and Canada team. This includes developing and maintaining member and product reports and data, overseeing department communications and materials, assisting in scheduling team and member meetings as well as events, and providing overall administrative support for the team.

Primary Duties & Responsibilities include the following. Other duties may be assigned.

  1. Support the facilitation of various meetings including scheduling, facilitating, ThinkTank, notes and follow up communications; meetings include Member Advisory Boards, Collaboration Teams, Network Calls, Member and Virtuoso Events, and sales calls.
  2. Participate in and support the development and implementation of new member and new advisor onboarding. Support the management of new members/branches to increase growth, involvement and engagement in the network.
  3. Member Communications:
    1. Develop, manage, and maintain Owner/Manager and Department content on Virtuoso Website.
    2. Monitor and respond to general member email box.
    3. Develop and maintain documentation, collateral and presentations for member sales calls, Collaboration Teams, Board and Committee meetings and events.
    4. Develop content for Executive Update, Virtuoso Now and other member communications.
    5. Coordinate with Corporate Communications on campaigns and customized messages to agency owners/managers and advisors.
    6. Manage content in Zoho for distribution of Owner/Manager communications.
    7. Maintain schedule and manage Network calls.
  4. Represent the team on internal and member committees including managing communications, rollout plans, reporting and documentation as requested.
  5. Assist in developing Member Agency Business Summaries, Strategic Collaboration Process and recommendations to support the US/CA Member Partnership team in maximizing member engagement and communicate member needs to the Virtuoso organization. Support member visits and events as needed. Order materials for member visits and events as needed.
  6. Assist in developing reports and conducting research and surveys with Members in the US and Canada and create supporting reports to provide information needed for developing meeting agendas and content, program recommendations, database audit, and develop new programs, products and services.
  7. Support Virtuoso's National Account program with a focus on engagement and effective use of Virtuoso products and services, preferred partners and Virtuoso events.
  8. Department Support: Provide support for the Vice President, Director, Account Directors/Account Managers as requested, including scheduling and coordination of meetings, distribution of agendas, taking and distributing meeting notes and managing expense reports.
  9. Own, manage and respond to questions/issues/inquiries from Members. Provide outstanding customer service to members and support Account Directors/Account Managers as needed.


  • Bachelor's degree in Accounting or Business
  • 2-4 years of related work experience

Skills, Abilities, Experience

  • Monitor event registrations (EMS, Domo).
  • Learn and utilize Think Tank program for meetings.
  • Utilize Enterprise tools Teams, Zoho, SharePoint, Domo.
  • Strong organizational skills.
  • Highly proficient in MS Office programs- MSWord, Outlook, Excel and PowerPoint.
  • Highly motivated, results driven individual with a work history reflecting the ability to work collaboratively within a diverse organization.
  • Ability to multitask, prioritize and problem solve independently in a fast-paced, deadline driven environment.
  • Excellent communication skills in working with a variety of customer needs and skills, ranging from visionary company owners to detail-oriented back-office accountants. Ability to relate well to individuals on one-to-one basis, including in telephone relationships and group presentation settings.

Travel Requirements

  • Infrequent travel may be required to attend company events (1-3 trips per year)
  • Travel will be primarily domestic but may include some international.

  • Internal: Key job contacts are primarily with clerical and technical personnel and managers outside of the job's immediate work unit/department.
  • External: Daily contact with agency owners/managers, front-line advisors, vendors, and partners, industry organizations and prospective members.
