Position Summary:  The Account Manager, Event Sponsorships will run the day-to-day operations and processes related to planning and delivery of Event Sponsorships.  This position will liaise with the following departments to ensure consistency and effectiveness of Virtuoso's sponsorship programs:  Global Member Partnerships (GMP), Global Product Partnerships (GPP), Marketing, Corporate Communications, Finance and Event Operations.


Essential Duties and responsibilities include the following.  Other duties may be assigned.

Sponsorship Product Creation and Maintenance 

  • Assist with creating sponsorship opportunities for each event
  • Assist with creating packages and customizing each to benefit the sponsor interested in a package  

Sponsorship Sales Support 

  • Enter sponsorship opportunities into Mag Manager, work with account manager on billing requirements and contacts as well as adjusting marketing funds and split payments 
  • Send out all confirmation email correspondence, each individualized based on sponsorship benefits (each package is completely customized plus the ad hoc packages)  
  • Track sponsorships sold on multiple platforms (excel, Mag Manager, Smartsheet, Great Plains)  

Sponsorship Sales Accounting 

  • Managing credits for all attendees for events they are sponsoring, transferring those when registration is transferred 
  • Issue refunds & credit adjustments with accounting 
  • Work with accounting to ensure all bills are sent and everyone has been invoiced accordingly  
  • Reconcile each event with Events Financial Analyst to ensure EMS, Dynamics (Accounting) & Inventory/Billing system (Mag Manager) all match (sponsorship amounts  adhoc and packages and credits)  

Sponsor "White Glove" Services via email, phone and onsite 

  • Pre-Event 
  • Primary contact for all sponsors, including management of relationships with C-Level executives
  • Ensure all attendees from each sponsor company are registered and have accommodations for contracted events across all geographic markets US, CAD, LAC, APAC, EMEA, up to and including manual registration  
  • Manually adding sponsors to events after event registration is closed and requesting Ops to reach out to hotel for additional rooms/room nights (whether partner is sponsoring event or not 
  • Ensure all contracted sponsor host tables are filled prior to leaving for the event  
  • Work with account mangers on requesting all Sponsor flight information for transfers at specified events  
  • At Event 
  • Manage sponsor host tables onsite to ensure they are full 
  • Attend all onsite sponsor presentation rehearsals (when possible) 
  • Act as Virtuoso point person for questions and special requests at events 

Sponsorship Benefits Delivery 

  • Ensure all sponsors have received upgraded accommodations at those events where upgrades apply 
  • Assist Creative Services, as needed, in acquisition of PPTs, logos, videos etc. for sponsor presentations  
  • Work with Creative Services to ensure all signage is correct and logos are in right order 
  • Review Symposium and VTW magazine ads to ensure all are in  
  • Work with ops to ensure sponsorship benefits reflect A/V already contracted for future events (mic only, full A/V, etc.)  
  • Manage sponsor suites at VTW, work with Events personnel on assigning the rooms accordingly  
  • Send out and manage invitations for the MAB & Sponsors cocktail receptions at Symposium and VTW 

Sponsorship Communication 

  • Create and send customized sponsor email correspondence relating to specific sponsor details for events 


  • Other projects, as assigned


Educational and Skills Requirements:

  • College degree preferred Marketing, Business, Tourism
  • 5+ Years of Sales and marketing experience preferred
  • Strong interpersonal skill with attention to detail and follow-through
  • Exceptional customer service skills
  • Experience in travel or hospitality industries highly preferred
  • Excellent verbal and written communication skills are required
  • Strong organizational skills needed to effectively and efficiently handle multiple tasks
  • Highly proficient in MS Word, MS Excel, PowerPoint, MS Outlook and internet navigation
  • Ability to travel both domestically and internationally

Internal:  Daily contact with Virtuoso staff
