Position Summary: The Coordinator, Professional Development, is responsible for overall administrative functions for the Managing Director and Professional Development department, as well as supporting Virtuoso's Live Webinar program.


Essential Duties and Responsibilities include the following. Other duties may be assigned.

  1. Support the Professional Development team in executing partner training and professional development activities for Virtuoso's network of luxury travel advisors.
  2. Coordinate webinar scheduling and communications with participating partners.
  3. Host partner test sessions and Live Webinars, troubleshooting issues, as needed.
  4. Maintain webinar recordings and upload files to the travel advisor learning portal.
  5. Export, customize and send post-webinar reports to partners, and maintain master spreadsheets.
  6. Manage the team e-mail account, answering questions and escalating issues, as needed.
  7. Act as primary contact for Virtuoso Service Center and other Virtuoso departments.
  8. Create applications and surveys, and manage data collection for travel advisor educational trips.
  9. Prepare class materials and maintain attendee rosters for in-person training seminars.
  10. Coordinate team's data entry in the company accounting system.
  11. Support Managing Director and team with administrative tasks and miscellaneous projects, as assigned.
  12. Travel may be required.


Educational and Skills Requirements:

  • Bachelor's degree or equivalent experience in communications, sales, marketing, business, learning & development, travel industry management or related field
  • 2+ years' experience in a client or customer-service oriented position
  • Familiar with GoToWebinar or other live presentation/screen share software
  • Exceptional verbal, written and interpersonal skills, with the ability to lead conversations
  • Excellent decision-making skills and experience in making judgment calls on important matters
  • General office experience reflecting ability to multitask, prioritize, and problem solve in a deadline-driven environment
  • Organized and detail-oriented
  • Experience with Microsoft Office applications, including Excel, Outlook, PowerPoint and SharePoint
  • Familiarity with proofreading and geographical terms
  • Knowledge of travel industry preferred

External:  Daily contact with network members and partners, and various vendors and contractors

Internal:  Daily contact with Virtuoso staff
