Position Summary:  The Coordinator for the Marketing Production Department is responsible for support functions related to the production and distribution of marketing campaigns.


Essential duties and responsibilities include the following. Other duties may be assigned.

  1. Image Collection Manage image purchase and collection for Virtuoso's marketing products. Work with account managers and designers to finalize direct mail, email, catalog, and publication photo lists; purchase from stock houses; and download from supplier websites and Virtuoso's image library. Ensure purchased photos are within project budget. Conduct photo searches as needed.
  2. Webdam, Virtuoso's Digital Asset Management Software Rename, load and keyword photos used in Virtuoso's marketing. Archive past jobs in Webdam and S3.
  3. Vendor Invoices Code, track, and archive writing, design, photography, printing, and paper invoices. Locate missing invoices. Ensure creative costs are within set budgets.
  4. Marketing Samples Manage and organize inventory and fulfillment of publications and direct mail, both in the office and in inventory at the print vendor.
  5. Printer Fulfillment Instructions Write detailed instructions for direct mail projects so distribution is handled correctly.
  6. Proofreading Ensure accuracy of traffic reports, timelines, financial models, and recaps.
  7. General Production Assistance Assist in updating productions reports, fulfilling member sample requests, and general production coordination.
  8. Service Center Queue Monitor Marketing queue in Microsoft Dynamics, assign cases to appropriate Marketing staff, and follow up to ensure resolution.
  9. Administrative support (i.e. mailing packages, updating and distributing a variety of reports, and organizing department/division meetings).


Educational and Skills Requirements:

  • Bachelor's Degree in Marketing, Advertising, Communications, English, or related field preferred
  • Ability to self-start, multi-task, prioritize, and problem solve in a deadline driven environment
  • Strong organizational skills and attention to detail
  • Excellent interpersonal and customer service skills
  • Advanced proficiency in MS Office programs, Adobe Acrobat and Internet navigation required
  • Possible travel required
