Position Summary: This position is responsible for logistical planning and financial budgeting and analysis for all Virtuoso events in conjunction with event planning team and event development and sponsorship team.

This is a hands-on position, requiring both big picture perspective and roll-up-your sleeves capabilities, working on large (5,000+) and small events.

 

Essential duties and responsibilities include the following.  Other duties may be assigned. 

 

  1. Financial Management and Analysis
    • Budget Template Creation/Updates
    • Budget Creation - Work with event planners and other staff as required across enterprise to establish budget for all events, by functions/activities/actions
    • Budget Reviews and Updates work with Event Planners and other staff as required to update forecasts on timely basis
    • Budget Reconciliation and Analysis work with Event Planners and other staff as required to finalize results and reconcile with Great Plains
    • Create and maintain high level financial summary of all global events
    • Set pricing for events, factoring in market and other factors
    • Work with Sponsorships team in modeling and financial analysis of event sponsorships
    • Identify opportunities for improved event profitability
  1. Perform Room Reconciliation for all hotels utilized across all events
    • Booked Rooms in EMS versus hotel records
    • Passkey Reconciliation (where applicable)
    • Final hotel billing reconciliation
  1. Manage logistics across all events
    • Timed appointment tracks and table planning, including management of spreadsheet systems
    • Other logistical calculations, as needed (e.g., Community Globetrotting pavilions, Community lunch rooms assignments, Dine Around meals, etc.) 
  1. Create efficiencies in event management
    • Create tools (e.g., excel, MS workflow tools, etc.) and improved processes within Events division and with outside divisions to assist event planners and sponsorships team in increasing productivity while eliminating manual processes

 

Educational and Skills Requirements:

  • Bachelor's Degree required; Masters of Business Administration preferred
  • 7+ years of work experience. Must be strong, confident and positive with excellent communication skills.
  • Certified Meeting Planner (CMP) certification a plus
  • CTA/CTC/CTIE/CPA certifications a plus
  • Experience in meeting and program planning desired
  • Travel industry experience, a plus.
  • Experience with a variety of event planning concepts, practices, and procedures.
  • Excellent verbal and written skills.
  • Strong financial and accounting acumen.
  • Ability to multitask, prioritize and problem solve in a deadline driven environment.
  • Proficiency in Microsoft Word, Microsoft Excel, Microsoft Outlook and Microsoft PowerPoint.
  • Ability to travel, domestically and abroad.

 

Type/Nature of Contacts:

External:  Daily contact with hotels, members, partners and on-sites.

Internal:  Daily contact with Virtuoso staff.
